How to Estimate Shipping Costs for Convention Orders

This free shipping cost estimator helps craft show and convention vendors compare rates across USPS, UPS, and FedEx before quoting customers. Enter your average package weight in ounces, select a shipping zone based on distance, and optionally enter the number of orders you expect to ship. The tool shows estimated per-label costs and total batch costs sorted from cheapest to most expensive.

Shipping zones range from local (Zone 1-2, same region) to coast-to-coast (Zone 7-8). For most convention vendors, the majority of orders ship to Zones 3-6. If you are unsure which zone applies, use Zone 5 as a reasonable average for national shipping from a central location.

USPS vs. UPS vs. FedEx for Small Business Shipping

For packages under 10 pounds shipping to residential addresses, USPS Ground Advantage is almost always the cheapest option. The carrier rate is only part of your per-package cost. Add $2-$5 for boxes, bubble wrap, tape, and packing materials. If you ship via UPS or FedEx to home addresses, add the residential surcharge. Insurance for items over $100 adds another $1-$4. Address correction fees ($1.50-$2.00) hit 5-10% of shipments. Factor these into your flat shipping rate or build them into product prices so you don't lose money on post-show fulfillment.

How to Set a Flat Shipping Rate for Your Booth

Use this estimator to price your 3-5 most common package configurations to Zones 2, 5, and 8. Average the results, add $3-$5 for materials and surcharges, and round up to the nearest dollar. That number becomes your flat shipping rate. For example, if your average all-in cost is $11.40, charge $12 or build $12 into your product prices and offer free shipping.
